Background

Vivid Sydney is one of Australia's largest public events — a festival of light, music and ideas that transforms Sydney's CBD, harbour foreshore and iconic landmarks across 23 nights each winter. The event draws over three million visitors from across Australia and internationally, making crowd safety, access management and VIP guest coordination a significant operational undertaking.

AFS Group was engaged to provide security and crowd management support across multiple Vivid Sydney precincts, working alongside event organisers, NSW Police and local authorities to ensure a safe and enjoyable experience for all attendees.

The Challenge

Vivid Sydney presents a unique security challenge: an open-access public festival with multiple simultaneous light installations, concert venues and public spaces spread across a large urban area. Key challenges included:

• Managing crowd flow and density at popular light installations along the Circular Quay foreshore
• Coordinating access control across multiple venue types — from ticketed concerts to free public installations
• Providing VIP guest management for corporate event holders and invited dignitaries attending Vivid events
• Maintaining a security presence that was effective without being intrusive in an open, family-friendly festival environment
• Rapid incident response across dispersed precincts with real-time communication between teams
• Catering to large numbers of international visitors with multilingual communication support

Our Approach

AFS Group deployed licensed crowd controllers and close protection personnel across the key Vivid Sydney precincts, with a dedicated command and communication structure enabling real-time coordination across teams.

A detailed event risk assessment was completed prior to the festival opening, identifying crowd density thresholds, access point priorities, emergency egress requirements and contingency protocols. This assessment informed staffing allocation and team placement for each night of the festival.

For corporate and VIP clients attending Vivid Sydney events, dedicated chaperone and concierge teams provided door-to-door guest management — from arrival at Sydney hotels through to venue access and return transport.
